You may meet with more than one therapist or psychiatric provider before finding the right match for you. If you would like to replace your current provider, you can do so directly through the Rula patient portal.
How to replace your provider
Follow the steps below to replace your telehealth or in-person provider.
- Log into the Rula patient portal.
- Click the Care Team tab from the left menu.
- From the Care Team page, find the provider you would like to replace and click the 3 dots to open a dropdown menu.
-
Select Replace provider.
- A pop-up will appear asking why you're choosing to replace your provider. Select a reason and click Continue.
- You'll be directed to a page where you can browse providers. Use the filters to set your preferences and availability to narrow the search results.
- Click View Profile to open a provider’s full profile, where you can find more details about them (their bio, specialties, and more).
-
If they meet your needs, select a date and time for your first visit under "Book your session". If they’re not the right fit, click Back to keep browsing.
-
-
Once you select a date and time with your new provider, a pop-up message will appear about your scheduled appointments with the provider you're replacing.
No upcoming appointments: A pop-up will appear simply to confirm your new booking. Click Continue.
-
Next appointment is more than 24 hours away: A pop-up will notify you that all future appointments with the provider you are replacing will be canceled. Click Continue to confirm.
-
Next appointment is less than 24 hours away: A pop-up will notify you that you have an appointment scheduled within 24 hours with the provider you are replacing. It will ask if you want to keep or cancel that session.
Note: Choosing to cancel at this time will result in a late cancellation fee. You'll also have the option to keep the upcoming appointment with the provider you are replacing and cancel the rest to avoid a fee. Make your selection and click Continue and book.
Once finished, you'll receive a confirmation message that your initial appointment with your new provider has been successfully booked.
Important notes on switching providers
Automated Cancellations: Rula will automatically cancel all future appointments with your previous provider once a replacement is selected.
Provider Notification: Your previous provider will receive an automated email notification informing them that all of your future appointments have been canceled.
Initial visit and intake assessment: When you switch to a new provider, you'll be treated as a new patient for that specific clinician. This means you will complete a new initial assessment and an initial intake visit to establish your care plan with them.
