In addition to appointment confirmation and reminder emails, Rula also sends you calendar invite emails when an appointment (or series of appointments) is scheduled or modified. These invites give you the option to add Rula sessions to your personal calendar, making it easier to keep track of your schedule.
Calendar invites are sent individually for each appointment, up to 10 at a time. If you book a series of more than 10 visits, you'll receive the event invite emails for remaining appointments once your scheduled visit is within the next 10 weeks.
What's included in a calendar invite email
Rula's invites are compatible with most common calendars, like those offered by Google, Microsoft Outlook, and Apple. All invite emails will include this information:
- Sender details: All invites will show Rula's logo and will be sent from: support@mail.rula.com
- Event title: [Provider Full Name] <> [Patient Initials] [Appointment Type]
- Example: John Smith <> J.M. Telehealth Appointment
- Date & time: Appointment date and start time
- Location: Location of the appointment
- If in-person, it will show the full physical address
- If telehealth, it will show the telehealth link
- Attendees: The provider who will be attending the session
How to add an invite to your calendar
When an appointment is scheduled, you'll automatically receive a calendar invite email. From the email, you'll be able to respond to the invite, which will look different based on your email/calendar provider.
The way an event invite will populate on your personal calendar also depends on the calendar provider you use—find yours below!
Google Calendar
The event invite will be automatically added to your calendar if the sender (support@mail.rula.com) is marked as a known sender. You can mark Yes to show it as an event you're attending.
Once you interact (marking yes/no/maybe) with an invite we send, we'll be considered a known sender for all future invites—or you can click Add to calendar if you see this banner in the invite email.
Outlook
The event invite will be automatically added to your calendar by default—you can mark Accept to show it as an event you're attending.
Apple (iCal)
The event will not be automatically added to your calendar—you'll need to download and open the invite.ics attachment at the bottom of the email first. Once the downloaded file is opened, the event will open in your Apple calendar.
Responding to invites
You can mark yes/accept, maybe/tentative, and no/decline for an invite directly in the email and from the event in your calendar, or you can delete the invite from your calendar view.
These actions/modifications to an event invite do not update your appointment with Rula and are only for your personal calendar view.
All appointment changes or cancellations must be made in the Rula patient portal.
Appointment changes and cancellations
Rescheduled and canceled appointments will automatically update on your personal calendar if you already have an active calendar invite for that event.
- For rescheduled appointments, you'll see an Updated label on the invite email.
- For canceled appointments, you'll see a Canceled label on the invite email.
