Updating your insurance information

Rula patients can use the Rula patient portal to update their insurance information on file without needing to contact Customer Support! It's especially important if you have new coverage to sign into the portal and update your insurance information. This will ensure we have the most up-to-date information to bill your appointments accurately and confirm that your provider remains in network. 

This article includes step-by-step instructions for updating your existing insurance, adding a new upcoming plan, and where to locate your appointment cost estimate.

Adding insurance information during registration

When you register with Rula, you'll be asked to provide your insurance information, including photos of the front and back of your insurance card. 

On phone

If you are completing registration from your smartphone follow the steps below:

  • Click on the field that says Drag and drop or tap to upload
  • Choose to take a photo if you do not currently have one saved to your phone
    • If you already have a saved photo of your insurance card, choose the image from your photo library or saved file on your phone to upload
  • If taking a new photo, take and image of the front of your card and repeat with the back of your card
  • Click Next to continue your registration process

On computer

  • Locate the camera app on your computer
    • Mac: open "Photo Booth"
    • PC: open the "Start/Windows" menu and search for "Camera"
  • Position your insurance card in front of the camera to capture an image of the front and back of the card
  • Once the photos have been captured, navigate back to the Rula registration flow
  • Click on the green "upload" box
  • Upload photo of front of card
    • Mac: search "photo" in the search bar and the image you just took should be at the top of the list
    • PC: choose the "Pictures/Camera Roll" folder and locate the photo
  • Click open/upload
  • Repeat for the back of your card

Updating your insurance information on file with Rula

Log into the Rula patient portal here. If you need help doing this, please follow these instructions.

Once logged in, complete the below steps to update your insurance information on file with Rula.

  • Click Insurance on the lefthand side of the screen to show your account details.
  • Click Edit

  • Enter all of your insurance information, including uploading images of the front and back of your insurance card.
    • Important notes:
      • If you do not have a physical insurance card, please take screenshots of your insurance card information located in your insurance carrier’s app or online portal and upload that instead.
      • If your insurance plan is not listed as an option on the Insurance provider dropdown list, select I Don’t See Mine - the last option on the list. Rula will verify your coverage details during the benefits verification process.

Your insurance information is now updated in Rula’s system and will be used for billing going forward!

Once our Billing team has verified your insurance benefits, you will receive an automated email notification stating your updated coverage and an estimate of your out-of-pocket costs. Please note that it can take up to 48 hours to receive this email, but most are received within 24 hours. Additionally, the results from your verification of benefits can also be viewed in the Insurance tab of your patient portal.

Viewing your cost estimate

Click Insurance on the lefthand side of the screen

  • While your Verification of Benefits is being processed, you will see a message that your cost estimates are being calculated.

In-network

  • If the Verification of Benefits shows that you are in-network, your deductible amounts and an explanation of how the cost is broken down will be provided.

In-person appointments

  • Telehealth and in-person appointment rates may differ, so the estimated cost will be calculated separately for each.
  • Click on Telehealth and In-person to see the difference.

Out-of-network

  • If the Verification of Benefits shows you are out-of-network, you will see the cash pay cost estimate and an explanation of out-of-network coverage.

Cash pay

  • If you do not have insurance on file, you will see the cash pay amount.

Adding your upcoming insurance plan

  1. From the patient portal: Visit the Insurance tab
     
  2. Next, click “Add Insurance”

  3. Provide your upcoming insurance plan details, and include the coverage start date (effective date) to avoid any billing disruptions

    Note: Insurance companies require the collection of "sex on your insurance card" for billing purposes. Rula recognizes the diversity of gender identity and expression.
  1. Click “Add” on the bottom right

  2. Carefully review the details and effective date on the next screen
  3. If you are satisfied that the changes are correct - click “Confirm” to submit

You will see a success message that your insurance has been added, and will see your upcoming insurance plan is now listed in the Insurance page along with your current insurance plan.

What to expect after adding your upcoming insurance

  • Your new insurance will replace the insurance information that is on file on the effective date.
  • We will send you your updated Verification of Benefits (VOB) estimate around the time of the effective date and the results from your VOB can also be viewed in the Insurance tab.
