Rula Patient App: Account Settings and Appointment Management

The Rula patient app is your place to stay connected to your care between therapy sessions. There are a lot of amazing features available within the app to support you between your therapy appointments. But the app can help you with more than that - it can help you cancel and schedule appointments, find a new provider, manage your billing, connect you to this help center, and more. 

Almost anything you can do in the Rula patient portal, you can also accomplish in the Rula mobile app. 

Finding your way around

At the top of the Home screen you can reach your Account settings and information by clicking the person icon in the top right corner. This brings up a list of Account information you can review and edit.

Looking to message your provider in the app? Not a problem! There is an envelope icon next to the person (account) icon. Clicking this will bring you to the messaging tool, which acts just like the Messaging Tab in your Rula patient portal.

Profile

Under your profile you can edit information such as your preferred name, phone number, mailing address, emergency contact and payment information. Please note that two areas are locked and are not editable: Your legal name and your email address. If you want to update either of these, you will be directed to contact Rula support. 

Simply click Edit next to any section in your Profile to make changes.

Care Team

Under your Care Team, you can see current and past providers. By clicking on a current provider, you will see the option to book an appointment, message them, view their profile, or find a replacement. You can do all of the same actions for "past" providers except for "Find replacement".

Replacing your provider

  1. There are two ways your can start from your Care Team: clicking on the provider you want to replace and clicking Find replacement or by clicking Add a provider at the bottom of the screen.

  2. Select the care type you'd like (individual, couple, family, or psych), then click Continue
  3. If you select a care type that is already ‘Active’, you’ll see a prompt informing you that you can only have one active provider for each care type, and be asked to confirm that you'd like to replace your current provider. If yes, click Continue.
  4. Let us know why you're replacing your provider, then click Continue.

  5. Now you will be sent to an in-app browser to book an initial appointment with a new provider.
  6. Once you've found a new provider, selected a date and time for your appointment, and booked it you will see a confirmation screen that lets you know all future appointments with your previous provider have been cancelled.

Adding a new provider

Please note that you can add a new provider without replacing your current one if you are booking under a new appointment type (individual, couples, family, psychiatry).

  1. From your Care Team, click Find a new provider at the bottom of your screen.
  2. Select the care type you'd like (individual, couple, family, or psych), then click Continue
  3. Now you will be sent to an in-app browser to book an initial appointment with a new provider.

  4. Once you've found a provider, selected a date and time for your appointment, and book it you will see a screen that asks you to complete your intake forms. 

Billing

Under Billing, you can update your payment method, download statements, and review charges to your account.

Insurance

In the Insurance section, you will see what your current coverage is and upcoming coverage if you have a new plan taking over soon. Whether you are covered by insurance, self-pay, or are using EAP benefits you can see all of that information here. 

Please note at this time that updating or adding insurance coverage cannot be done in the mobile app. If you click Edit or Add, you will be redirected to the Rula patient portal.

Appointment Management

Looking to reschedule or cancel your appointment? Not a problem, you can do this in the Rula mobile app!

  1. Head to the Sessions tab or section of the mobile app by clicking Sessions in the bottom navigation bar.
  2. Find the appointment you want to cancel or reschedule.
  3. Click the three dots to the right of the appointment details.

  4. A menu will appear asking which action you'd like to take.

  5. Choose your desired action and continue to move forward through the prompts, such as choosing a new date and time, cancelling your appointment, or letting us know why you would like to replace your provider so we can find a better match for you. 

Note that you can manage any of your appointment types within the Rula patient app - therapy or psych - even though some features are not available for psychiatry yet. 

Other settings

In your Account settings, there are a few other actions you can take such as toggling your app notification on and off, sharing feedback with Rula, redirecting to the help center, and switching to a different profile if you managing multiple (for example, if you have minors with Rula accounts).
